Start with your church
Complete the initial setup, create your church, and add the meetings you hold regularly. Add people and ministries as needed; then create teams within a ministry. Your directory can contain people who serve in more than one role.
Set up a recurring meeting
Choose the first meeting date and its start and end times. Set the recurrence separately. Leave the series without an end date for an ongoing service, or choose the last date for a limited series. A meeting that ends the same day does not need its recurring series to end that day.
Assign people, teams, and guests
Open a calendar service to assign its speaker. Use Coverage for a person or team assigned to a service or a period. You can also enter from a ministry or team. Check the church, role, service, and dates, then save. Use the existing assignment’s editing options to replace or remove it. A guest can be entered without creating a permanent directory contact.
Back up or move your records
In Settings, export a backup and save it to a location you trust. On another device, import that saved file. Export a backup before resetting data, removing the app, or changing devices. iPhone and iPad do not automatically synchronize. The developer cannot recover planning records stored only on your device.
Send personalized notices
On iPhone, follow the in-app instructions to install the Role Time shortcut and grant the permissions requested by iOS. Prepare the message batch, review and exclude recipients as needed, and start the workflow. If a share sheet appears, choose the Role Time shortcut rather than sharing the raw batch directly through Messages. Test with your own number first. Check the installed shortcut’s Send Message settings if a manual sending screen appears; behavior depends on the installed shortcut and permissions. Sending is initiated by you, and carrier charges may apply. Running the same batch again can duplicate notices.
Export a PDF schedule
Choose Export from the calendar, select the period and filters you need, then use the PDF options to save, share, or print the generated schedule. The PDF keeps a white background even when the app is in dark mode. Share a new export if you later change the plan.
Check personal reminders
Allow notifications in system Settings if you want reminders. Personal reminders notify you on the device; they do not send messages to the people assigned to services. Review the app’s reminder settings if you change the preferred advance notice.
Edit or delete your information
Edit or remove individual records in the app. To clear the app’s planning data, use the reset option in Settings and read its confirmation carefully. Export a backup first if you need to keep a copy. Offloading can preserve local data; copies in backups, exported files, and Messages must be managed separately.
Report an issue
Include your device model, iOS or iPadOS version, Role Time version, and the steps that led to the issue. A screenshot with personal data hidden can help. Do not send a church directory, confidential notes, recipient telephone numbers, or a full backup by default. We can discuss what is needed to investigate.
